01THE METHOD

How to Use the Monthly Salary Slip Calculator

The Monthly Salary Slip Calculator converts the earnings and deductions you enter into a structured monthly salary statement. It is suitable for employees reviewing a payslip, HR staff preparing illustrative salary breakups and job seekers estimating how much of their monthly gross salary may reach their bank account.

Unlike a CTC estimator, this tool starts with monthly cash earnings. It does not automatically add employer PF, gratuity provisions or insurance benefits to the amount payable. Those employer-funded items may appear in a compensation package without being part of monthly gross cash salary.

Calculate your payslip in 5 steps

  1. Enter employee details. Select the salary month and optionally provide the employee and company names for the printable summary.
  2. Add monthly earnings. Enter basic salary, HRA, dearness allowance, special allowance, bonus and other cash payments.
  3. Choose the PF method. Use an illustrative capped or full-wage calculation, enter the actual employee contribution, or select no PF.
  4. Enter deductions. Add professional tax, actual income-tax TDS, employee ESI and any other valid deductions.
  5. Review net pay. Calculate the salary slip, check each amount and print or copy the summary.

For the most useful result, take each amount from your appointment letter, payroll portal or existing salary record. Do not guess your income-tax withholding simply by applying a flat percentage to gross salary. Actual TDS is generally determined using projected annual taxable income and applicable tax provisions.

Monthly salary slip calculation formula

The basic calculation uses two stages. First, add all cash earnings payable for the selected month. Second, subtract the employee deductions applicable to that payroll period.

Monthly payslip formulas
ResultFormula
Gross earningsBasic + HRA + DA + special allowance + bonus + other cash earnings
Total deductionsEmployee PF + professional tax + TDS + employee ESI + other deductions
Net monthly salaryGross earnings − total deductions

The formula is straightforward, but the correct input amounts depend on your employer's salary structure. If you are starting with an annual package instead, use the CTC to in-hand salary calculator to distinguish employer cost from monthly cash salary before creating a payslip.

Understanding Monthly Salary Slip Components

A monthly payslip normally identifies the employee, pay period, earnings, deductions and net amount payable. Employers may also include employee identifiers, department, designation, paid days, leave without pay, bank details and statutory account information. The exact layout varies by organization and payroll system.

The Monthly Salary Slip Calculator focuses on the monetary components needed for a basic earnings-to-net-pay reconciliation. It does not collect sensitive identity numbers or bank account details, and its output should not be represented as an official payroll certificate.

Basic salary

Basic salary is the core contractual pay component. It may be used when calculating certain benefits or contributions, although the applicable statutory wage definition must be checked separately. Enter the monthly basic amount shown in your salary structure rather than a percentage of CTC guessed from an online example.

House rent allowance

HRA is a salary allowance that may be relevant to rent-related tax exemption under the old income-tax regime when qualifying conditions are met. The amount received as HRA is not automatically equal to the amount exempt from income tax. Use the HRA calculator for a separate exemption estimate.

Dearness and special allowances

Dearness allowance may appear in salary structures, particularly in some public-sector and other employment arrangements. Special allowance is a flexible salary component used by many employers. Both are included in gross cash earnings when payable for the month, but their treatment for specific statutory calculations can differ.

Bonuses, incentives and reimbursements

Enter a bonus or incentive only when it is actually payable in the selected month. A yearly performance bonus should not be divided into twelve guaranteed monthly payments unless the employer truly pays it that way. Expense reimbursements should be distinguished from taxable salary and entered only where they belong in the payroll statement.

For offers with a significant performance-linked component, compare guaranteed and conditional compensation using the fixed and variable pay calculator. This avoids treating a target incentive as money already earned.

03PAYROLL DEDUCTIONS

PF, Professional Tax and TDS in a Monthly Salary Slip Calculator

Payroll deductions explain why gross salary and bank-credit salary differ. The most familiar entries include employee provident fund, professional tax and income-tax TDS. Some employees also have ESI contributions, salary advances, loan recoveries, labour welfare deductions or other authorized payroll adjustments.

Employee provident fund

EPF contributions are commonly calculated using an applicable percentage of eligible provident-fund wages. The standard employee contribution is generally 12% in covered establishments, subject to applicable provisions and exceptions. A ₹15,000 monthly wage ceiling is relevant in many cases, but higher-wage contributions may apply.

The calculator provides capped, full-wage and manual methods because payroll practices differ. If your salary slip already displays employee PF, the manual method is the clearest way to reconcile the actual deduction. Employer PF should not be subtracted again from gross salary as an employee deduction.

For more details, consult the Employees' Provident Fund Organisation and the employee EPF contribution calculator.

Professional tax

Professional tax is governed by applicable state rules rather than one universal Indian payroll rate. Some states do not levy it, while others apply salary bands, monthly schedules or special rules. The ₹200 sample input is illustrative and must be replaced with the amount applicable to your employment.

Use the professional tax calculator or consult the relevant state authority. A person employed in Maharashtra may have a different deduction pattern from someone employed in Karnataka or another state.

Income-tax TDS

Tax deducted at source is the amount an employer withholds toward an employee's income-tax liability. It is not necessarily the same every month. Payroll adjustments, bonus payments, declared deductions, previous employment income and changes in projected annual salary can affect the withholding amount.

This calculator accepts the TDS amount you enter rather than pretending to determine your complete tax liability from a single monthly salary. For annual tax planning, use the tax regime comparison calculator or salary TDS monthly deduction calculator.

Employee ESI and other deductions

Employee State Insurance applies only where the relevant coverage and wage conditions are met. It should not be deducted from every salary automatically. If ESI applies to your employment, enter the actual contribution shown in payroll or calculated under the applicable rules.

Other deductions may include recoveries for advances, loans, unpaid leave adjustments or other legitimate items. Do not combine employer costs with employee deductions. If the deduction total exceeds gross earnings, the calculator flags the input combination instead of displaying a misleading negative take-home salary.

04WORKED EXAMPLE

Monthly Salary Slip Calculator Example With ₹75,000 Gross Pay

Consider an employee with monthly basic salary of ₹35,000, HRA of ₹15,000, special allowance of ₹20,000 and a ₹5,000 incentive. The total gross earnings are ₹75,000. Assume employee PF of ₹1,800, professional tax of ₹200, income-tax TDS of ₹5,000 and other deductions of ₹500.

Illustrative monthly salary statement
Payslip componentMonthly amount
Basic salary₹35,000
House rent allowance₹15,000
Special allowance₹20,000
Incentive₹5,000
Gross earnings₹75,000
Employee PF₹1,800
Professional tax₹200
Income-tax TDS₹5,000
Other deductions₹500
Total deductions₹7,500
Net monthly salary₹67,500
These figures are examples, not statutory deduction recommendations. The default calculator inputs omit the additional ₹500 deduction until entered.

The employee's estimated bank credit in this example is ₹67,500. However, the result would change if the incentive were not payable that month, if actual PF were based on a different wage amount or if payroll withheld a different TDS figure.

This is why a Monthly Salary Slip Calculator is most helpful when each line is checked against an actual salary structure. For an annual compensation comparison, see the monthly salary to annual CTC calculator. Annual employer cost and monthly gross cash pay are not interchangeable.

How to interpret the result

Gross earnings show the total cash salary included for the selected month before employee deductions. Total deductions represent amounts withheld from that salary. Net pay is the estimated amount remaining after those deductions, assuming no additional payroll adjustments outside the model.

Always check whether arrears, unpaid leave, reimbursements, employer-funded benefits or one-time recoveries have been treated correctly. A payroll statement may also show cumulative annual figures that are not part of the current month's payable salary.

05ACCURACY CHECKS

Common Salary Slip Mistakes and How to Avoid Them

A payslip may look simple while containing several opportunities for incorrect assumptions. Before using the Monthly Salary Slip Calculator for an employment or financial decision, confirm the pay period, earnings basis and deductions against reliable records.

Confusing CTC with gross salary

CTC can include employer provident-fund contributions, insurance costs, gratuity provisions and other benefits. Those amounts are not automatically part of monthly cash earnings. Use actual gross salary components instead of entering annual CTC divided by twelve as basic salary.

Subtracting employer PF twice

Employer PF and employee PF are separate contributions. If employer PF is already accounted for outside gross cash salary, deducting it again from monthly gross pay understates take-home salary. The calculator deducts only the employee PF amount determined by your selected method.

Using the wrong professional tax

Professional tax depends on applicable state legislation and employee circumstances. A deduction used in one state should not be copied into every payslip. Verify the amount with your payroll team or the relevant authority.

Assuming every month has identical pay

Bonuses, arrears, overtime, unpaid leave, tax adjustments and reimbursements can make one month's salary different from another. Prepare the estimate for the actual month instead of assuming the same figure applies throughout the year.

Treating a generated estimate as official proof

A self-prepared salary statement is useful for checking arithmetic and planning a budget. It does not establish that an employer paid the amount shown. For loan applications, employment verification or other formal requirements, request an authenticated payslip from your employer.

If your actual payslip and bank credit do not match, compare the individual entries using the payslip deduction breakdown calculator. Differences should be resolved with payroll records rather than by adjusting figures merely to produce a desired net salary.

PAYROLL REFERENCE / 04

Understand Each Payslip Amount.

Salary slips are more useful when the employee can identify which entries increase gross earnings and which reduce the final payment. The table provides a compact reference for the most common fields used in this calculator.

The treatment of each item may depend on employment contracts, statutory wage definitions and payroll policy. This reference is educational rather than a substitute for official payroll records.

For statutory guidance, consult the Income Tax Department and EPFO.

QUICK ANSWERS / 07

Monthly Salary Slip Calculator FAQs

Answers to common questions about salary statements, deductions and monthly take-home pay.

01 What is a monthly salary slip?+

A monthly salary slip is a payroll statement showing an employee's earnings, deductions and net salary for a particular pay period. It may also contain employee details, paid days, statutory account information and year-to-date totals. The employer-issued document is the authoritative record.

02 Is the Monthly Salary Slip Calculator free to use?+

Yes. The on-page calculator can be used without entering payment information. It produces an illustrative salary breakdown based on the amounts you provide. No account is required for the calculations shown in this page.

03 How is net salary calculated?+

Net salary is calculated by subtracting total employee deductions from gross monthly earnings. For example, gross earnings of ₹50,000 and deductions of ₹4,000 produce net pay of ₹46,000, assuming no additional payroll adjustments.

04 Does this tool calculate income tax automatically?+

No. Enter the monthly TDS amount from your payroll estimate or employer record. Accurate income-tax calculation may require annual income, tax regime, deductions, exemptions and other information not collected in this payslip tool.

05 Is PF always ₹1,800 per month?+

No. ₹1,800 represents 12% of ₹15,000 and is a common illustration of a capped contribution basis. Actual contributions may differ depending on eligible wages, applicable rules and employer policy.

06 Can I include bonuses in my salary slip?+

Yes. Include an incentive or bonus when it is payable for the selected month. Do not include a conditional annual bonus in every month unless it is genuinely paid monthly.

07 Can the calculator create an official payslip?+

No. It creates a self-prepared estimate for educational and reconciliation purposes. Official salary slips must come from the employer or an authorized payroll system with the appropriate records and verification.

08 Why does net salary change each month?+

Net salary may change because of bonuses, unpaid leave, arrears, tax adjustments, professional-tax schedules, recoveries and other payroll events. Review the actual pay period and deduction details when comparing months.

09 Is professional tax deducted in every Indian state?+

No. Professional tax is subject to state-specific legislation. Some states do not levy it. Where applicable, the deduction may depend on salary bands and other conditions.

10 What is the difference between gross and net salary?+

Gross salary is the total cash earnings before employee deductions. Net salary is the amount remaining after those deductions. Neither figure should automatically be treated as the same as annual CTC.

11 Can I print the generated salary summary?+

Yes. Use the print control in the calculator result panel. The printed statement is clearly an illustrative calculation and should not be presented as an authenticated employer payroll document.

12 How can I check an incorrect salary deduction?+

Compare the amount with your employment agreement, employer-issued payslip and applicable statutory rules. Ask your payroll or HR team to explain any unexplained deduction. The deduction breakdown tool may help organize the figures.
