THE FOUNDATION / 02

What Is Form 16 and Why Does It Matter?

Form 16 is the salary TDS certificate issued by an employer under the Indian income tax system. It helps employees understand salary income, exemptions, deductions and tax deducted during the relevant financial year.

Form 16 at a glance
ItemMeaning
IssuerEmployer responsible for salary TDS reporting
Part AEmployer and employee details, salary payment and TDS information
Part BSalary, exemptions, deductions and tax computation details
Financial yearYear in which salary was earned or received
Assessment yearFollowing year in which the income is assessed
Primary useReconciliation and preparation of salary-related ITR information

A Form 16 Tax Calculation Guide is particularly useful when salary income includes bonuses, allowances, taxable perquisites, retirement contributions or adjustments made late in the year. The certificate can provide a convenient starting point, but it must be checked against actual records.

For example, an employer might deduct TDS based on salary declarations available during payroll processing. Your final tax return may include bank interest, capital gains, additional employment income or other amounts not reflected in that employer's calculation. Therefore, the final tax payable can differ from the tax shown on Form 16.

Form 16 is also different from a salary slip. A payslip explains monthly earnings and deductions, while Form 16 summarises relevant annual tax information. If you need help with monthly figures, consult the Monthly Salary Slip Calculator and Salary TDS Monthly Deduction Calculator.

Form 16 Tax Calculation Guide: Part A and Part B

Understanding the two parts of Form 16 is essential because each serves a different purpose. Part A focuses on the employer's TDS reporting, while Part B explains how taxable salary and tax liability were calculated. Both should be reviewed before copying figures into an income tax return.

Part A: Verify employer details and TDS

Part A normally contains the employer's TAN, employee and employer PAN details, assessment year, employment period and information about tax deducted and deposited. Check identifying information carefully because errors may cause discrepancies during return processing or tax-credit matching.

Compare the TDS figures with the relevant entries in Form 26AS and the Annual Information Statement. A tax deduction appearing on a payslip does not automatically mean the corresponding credit is correctly reflected in the tax department's records. Any mismatch should be investigated with the employer.

Part B: Understand the salary calculation

Part B generally contains gross salary, qualifying exemptions, income chargeable under the head Salaries, eligible deductions and the resulting tax computation. It may also reflect other income or eligible tax relief considered by the employer. The exact entries depend on the employee's circumstances and the applicable certificate format.

The Form 16 Tax Calculation Guide recommends checking every significant amount in Part B against your salary records and declarations. In particular, verify the standard deduction, exempt allowances, professional tax, Chapter VI-A deductions and selected tax regime. Do not assume that every declared investment was accepted by payroll.

What if you worked for two employers?

If you changed jobs during the year, you may receive separate Form 16 certificates. Combine taxable salary information carefully while avoiding duplicate deductions and credits. A former employer's income may not have been fully considered by the new employer when estimating TDS, creating a possible year-end shortfall.

Use the Gross Salary Calculator India to distinguish annual salary amounts from other compensation components. The Tax Regime Savings Comparison Calculator can help you evaluate the effect of regime selection.

03 SEVEN STEPS

How to Calculate Tax From Form 16 in 7 Steps

Use the following seven-step method to move from the salary figures in Form 16 to an estimated final tax position. The method separates salary computation, taxable income, income tax and tax credits so that an error in one stage is easier to identify.

Step 1 — Confirm the financial year and tax regime

Identify the correct financial year and assessment year before using any tax rates. The financial year 2026–27 corresponds to assessment year 2027–28. Verify whether the old or new tax regime applies to the calculation and whether your final return can use the regime you intend to select.

Step 2 — Identify gross salary

Find the relevant gross salary figure in Part B. Check basic salary, allowances, taxable bonuses and perquisites. Exclude employer CTC components that are not taxable salary merely because they appear in an offer letter. If you need to understand the distinction, review CTC Versus Gross Salary India.

Step 3 — Subtract eligible salary exemptions

Under the old regime, qualifying exemptions may include HRA and certain other allowances subject to statutory conditions. Use actual eligible amounts, not assumed percentages. Normal HRA exemption is generally unavailable under the new regime. The HRA Exemption Guide explains the qualifying calculation.

Step 4 — Apply the standard deduction and other permitted salary deductions

For the years covered by this calculator, the standard deduction is generally ₹75,000 under the new regime and ₹50,000 under the old regime for eligible salary income, limited by the relevant salary amount. Professional tax may be deductible under the old regime. Check all eligibility conditions before reducing taxable salary.

Step 5 — Add other income and subtract allowable deductions

Add taxable income from other sources, such as bank interest, where relevant. Subtract only deductions permitted under the selected regime, subject to their individual conditions and limits. Common old-regime provisions include eligible deductions under Sections 80C, 80D and other applicable sections.

Step 6 — Calculate slab tax, rebate and cess

Apply the relevant progressive tax slabs to taxable income. Check whether Section 87A rebate or marginal relief is available. Then apply Health and Education Cess at the applicable rate, generally 4% of income tax after eligible rebate or relief. Surcharge and special-rate income require separate treatment.

Step 7 — Reconcile tax liability with credits

Compare the estimated final liability with TDS, TCS, advance tax and self-assessment tax actually available as credits. A shortfall may mean additional payment is needed. Excess credit may result in a refund, subject to processing, adjustment and validation by the Income Tax Department.

These steps make the Form 16 Tax Calculation Guide useful as a checklist, not just a formula. Keep supporting evidence for exemptions and deductions, and resolve inconsistencies before submitting the return. The TDS Calculator provides additional context on tax withholding.

04 WORKED EXAMPLE

Form 16 Tax Calculation Guide With a ₹15 Lakh Salary Example

Consider a resident salaried individual below 60 with annual gross taxable salary of ₹15,00,000 in FY 2026–27. Assume the new regime applies, the individual has no other income, no special-rate income and no additional qualifying adjustments. This example demonstrates the calculation rather than representing an actual employee's Form 16.

Illustrative new-regime salary tax calculation
ComponentAmount
Gross taxable salary₹15,00,000
Standard deduction₹75,000
Taxable income₹14,25,000
Tax on first ₹4,00,000₹0
Tax on next ₹4,00,000 at 5%₹20,000
Tax on next ₹4,00,000 at 10%₹40,000
Tax on remaining ₹2,25,000 at 15%₹33,750
Income tax before cess₹93,750
Health and Education Cess at 4%₹3,750
Total estimated tax₹97,500

Suppose verified tax credits total ₹1,05,000. The difference is ₹7,500, indicating a potential refund before any other return adjustments. If verified credits were instead ₹80,000, the estimated shortfall would be ₹17,500, excluding applicable interest and fees.

Notice that the rebate does not eliminate tax in this example because taxable income exceeds the relevant new-regime threshold, and the illustrated income is beyond the marginal-relief range. A lower taxable income may produce a very different result. The Income Tax Rebate 87A Calculator provides a focused explanation.

The Form 16 Tax Calculation Guide should always be applied to actual taxable income, not automatically to annual CTC. For example, an employer's compensation package can include employer provident fund contributions, insurance or gratuity provisions that do not translate directly into ordinary gross salary.

05 VERIFY BEFORE FILING

Common Form 16 Tax Calculation Mistakes

The most frequent errors arise when taxpayers treat employer payroll calculations as complete final-return calculations. Form 16 is an important document, but it may not contain every source of income, every credit or every adjustment relevant to an individual taxpayer.

Using CTC instead of taxable salary

CTC and taxable salary are not interchangeable. Employer contributions, non-cash benefits and salary allowances can receive different tax treatment. Begin with the appropriate salary components rather than applying slabs directly to the annual offer amount.

Claiming the same deduction twice

Employee provident fund contributions may already be included in a declared Section 80C amount. Entering EPF separately and again as part of a combined investment deduction can overstate relief. Similarly, avoid entering the standard deduction twice when using the calculator.

Ignoring interest and other income

Savings interest, deposit interest, rental income, capital gains and income from another employer may alter the return. Some categories are taxed under special rules and cannot be accurately calculated with an ordinary salary slab estimator. Check the applicable return schedules rather than adding everything indiscriminately.

Assuming TDS equals final income tax

Payroll withholding is based on available estimates and declarations. The employer may not know about additional taxable income or a revised deduction claim. Reconcile credits against official records and calculate the return liability independently.

Using the wrong assessment year

Tax rules and slabs can change between years. Select the financial year that matches the certificate, then verify the associated assessment year. Do not apply the latest slab rates to an older Form 16 without confirming they were effective for that period.

Failing to reconcile tax credits

Review Form 26AS and the Annual Information Statement before filing. If TDS was deducted but is not reflected correctly, contact the deductor to investigate reporting or correction requirements. A payslip alone is not conclusive evidence that the tax credit has been posted correctly.

TAX REFERENCE / 06

New-Regime Income Tax Slabs.

The following ordinary-income slabs apply to the financial years 2025–26 and 2026–27 under the new regime. Tax is progressive, so each rate applies only to income within the corresponding band rather than to the entire taxable amount.

For an eligible resident individual, the new-regime Section 87A rebate can reduce ordinary slab-rate tax to zero where total taxable income does not exceed ₹12 lakh, subject to statutory conditions. Marginal relief may apply just above that threshold. Special-rate income is not covered by this simplified illustration.

For further verification, refer to the Income Tax Department official portal and the Income Tax Department reference website.

The Form 16 Tax Calculation Guide uses these ordinary slab rates in its new-regime calculation. Old-regime calculations for individuals below 60 use the applicable older slab structure and separate rebate conditions.

QUICK ANSWERS / 08

Form 16 Tax Calculation Guide: Frequently Asked Questions

Answers to common questions about Form 16, salary tax calculations, TDS, deductions and income tax return filing.

01 Is Form 16 compulsory for filing an ITR?+

No. Form 16 is useful but is not universally mandatory for filing an income tax return. Taxpayers can prepare returns using verified salary details, Form 26AS, AIS and other relevant records. However, obtaining the certificate from your employer can make salary reconciliation easier.

02 How can I calculate income tax using Form 16?+

Identify gross taxable salary, subtract eligible exemptions and deductions, add other taxable income, apply the correct tax slabs and rebate, then compare the resulting liability with verified tax credits. Follow the seven steps in this Form 16 Tax Calculation Guide for a structured calculation.

03 What is the difference between Form 16 and Form 26AS?+

Form 16 is an employer-issued salary TDS certificate. Form 26AS is a tax-department statement containing specified tax-credit information. The two should be reconciled, especially where salary TDS amounts appear inconsistent.

04 Can I claim a refund using Form 16?+

Form 16 helps identify tax deducted, but a refund is normally claimed through the applicable income tax return. A refund may arise when eligible tax credits exceed the final liability. The amount remains subject to return processing and adjustments.

05 Does Form 16 show all taxable income?+

Not necessarily. It primarily concerns salary income and employer payroll tax computation. Interest, capital gains, rental income, other employment income and additional sources may need to be reported separately in the tax return.

06 Can I use the old tax regime if Form 16 uses the new regime?+

For eligible taxpayers without business or professional income, the final regime choice may differ from the employer's TDS calculation, subject to applicable filing rules. Taxpayers with business income face additional restrictions. Confirm eligibility before filing.

07 What should I do if Form 16 contains incorrect TDS?+

Compare the certificate with payslips, Form 26AS and other official records. Contact the employer or payroll department for clarification and, where appropriate, correction of the relevant TDS reporting. Do not invent or duplicate tax credits.

08 When does an employer issue Form 16?+

Where the applicable salary TDS certificate requirement applies, Form 16 is generally issued by 15 June following the relevant financial year, subject to official changes or extensions. Confirm the applicable deadline with the Income Tax Department.

09 Is the standard deduction automatically available?+

The standard deduction is generally available against eligible salary income, subject to the applicable regime and statutory limits. It should not be entered twice when calculating taxable salary. Other deductions may require separate eligibility and documentation.

10 Can I calculate tax for previous financial years?+

Yes, but you must use the rules applicable to that year. The interactive calculator on this page supports FY 2025–26 and FY 2026–27 for its stated ordinary-income assumptions. Earlier years require their own slab, deduction and rebate provisions.

11 Why does Form 16 tax differ from my ITR calculation?+

Differences can arise from additional income, changed deductions, tax-regime selection, previous employment, incorrect credits or other adjustments. Review each calculation stage and compare the underlying figures rather than assuming either amount is automatically correct.

12 Where can I verify my Form 16 tax information?+

Use the official Income Tax e-Filing portal to access available tax statements and filing services. Compare these records with employer-issued Form 16 and your supporting financial documents.
