What Does an Offer Letter Salary Breakdown Calculator Show?

An Offer Letter Salary Breakdown Calculator helps interpret the compensation structure an employer proposes. A salary offer may contain fixed cash pay, performance incentives, provident fund contributions, insurance, gratuity provisions and other benefits. The combined amount is often called cost to company, or CTC.

CTC represents the employer's annual compensation cost. It is not necessarily the amount paid into your bank account. Some parts may be employer-funded benefits, some may depend on performance and others may be deducted from gross salary before payment.

The most important distinction is between guaranteed fixed cash compensation and the headline package. A larger advertised CTC does not automatically produce a higher monthly take-home salary. Different employers may distribute the same total package across different components.

Common Components in an Indian Offer Letter

  • Basic salary: A fixed salary component commonly used in calculations for provident fund, HRA and certain benefits.
  • House Rent Allowance: An allowance within gross salary. Its income-tax treatment depends on the chosen regime and eligibility.
  • Special allowance: A cash component used to complete the salary structure after other allowances.
  • Employer PF: A contribution made by the employer, sometimes included in quoted CTC.
  • Variable pay: Performance-linked compensation that may depend on targets, employment conditions and payout dates.
  • Gratuity and insurance: Benefits or provisions that may be included in employer cost without appearing as monthly cash salary.

For additional context, use the CTC versus gross salary guide and the salary breakup calculator. These help explain why different salary labels should not be treated as interchangeable.

02THE METHOD

Offer Letter Salary Breakdown Calculator Formula

The calculation begins with the annual CTC and removes employer-funded items that are included in the package but are not employee cash earnings. Annual variable compensation is then separated to identify the recurring fixed gross salary.

Offer Letter Salary Breakdown Calculation Stages
StageFormula
Annual gross cashCTC − employer PF included in CTC − other employer costs
Annual fixed grossAnnual gross cash − annual variable pay
Monthly fixed grossAnnual fixed gross ÷ 12
Monthly take-homeMonthly fixed gross − employee PF − professional tax − estimated monthly TDS
Annual net estimateAnnual gross cash − employee PF − professional tax − estimated annual income tax
The annual net estimate assumes full payment of variable compensation. Actual bonus withholding and timing can differ.

The calculator estimates basic salary and HRA using your entered percentages. These percentages are assumptions rather than statutory salary structure requirements. Enter the actual values from your offer wherever possible.

Employer provident fund requires particular care. If the employer contribution is included in CTC, it reduces the amount available as cash gross compensation. Employee provident fund is then deducted separately from gross salary. The two entries represent different contributions and should not be subtracted twice.

Important: The calculator models employer PF and employee PF at matching illustrative contribution amounts. Actual employer EPF/EPS allocations, wage definitions and company policies may require a more detailed payroll calculation.

The result is most useful when you can confirm which benefits are included in CTC, whether variable pay is guaranteed, and whether the employer uses capped or full-basic provident fund contributions. For detailed payroll deductions, visit the payslip deduction breakdown calculator.

03WORKED EXAMPLE

Offer Letter Salary Breakdown Calculator Example: ₹12 LPA

Consider an offer with ₹12,00,000 annual CTC, ₹1,20,000 target variable pay and provident fund contributions calculated on a capped monthly base of ₹15,000. Assume employer PF is included in CTC, with no additional employer benefits entered.

At a 12% contribution on that capped base, the illustrative employer PF is ₹1,800 per month, or ₹21,600 annually. Removing it from CTC leaves ₹11,78,400 of annual gross cash compensation. Removing ₹1,20,000 variable pay leaves ₹10,58,400 of annual fixed gross salary.

Illustrative ₹12 LPA Offer Breakdown
Salary componentAmount
Annual CTC₹12,00,000
Employer PF within CTC₹21,600
Annual gross cash compensation₹11,78,400
Target annual variable pay₹1,20,000
Annual fixed gross₹10,58,400
Monthly fixed gross₹88,200
Employee PF per month₹1,800
Monthly gross after employee PF₹86,400 before tax and other deductions
Amounts are illustrative and assume all stated variable pay is included in annual gross compensation. Income tax and professional tax have not been subtracted from the last line.

Under these assumptions, the employee's fixed monthly gross is ₹88,200, not ₹1,00,000. The final bank credit is lower after employee provident fund, professional tax where applicable, and any income-tax withholding.

With a 40% basic-pay assumption, the illustrative monthly basic salary is ₹35,280. If HRA is 40% of basic, the HRA component is ₹14,112 and the remaining fixed gross amount is allocated to other allowances. This is a modelling convention, not a statement about every employer's structure.

The Offer Letter Salary Breakdown Calculator lets you change these assumptions rather than relying on one universal take-home percentage. You can also explore the 12 LPA salary guide for related salary planning context.

04FIVE CHECKS

5 Smart Steps to Check Your Offer Letter

Before accepting an employment offer, work through these five checks. They help identify the difference between the advertised package and compensation you can reasonably expect to receive.

1. Confirm the Guaranteed Fixed CTC

Ask the recruiter to distinguish fixed compensation from performance-based or discretionary amounts. A target incentive is not equivalent to guaranteed monthly salary. Check whether joining bonuses, retention payments or reimbursements are included in the headline figure.

2. Identify Employer-Funded Benefits

Find the employer PF amount, gratuity provision, insurance cost and other benefits included in CTC. These can have genuine value without becoming monthly cash income. Enter known noncash employer costs in the calculator rather than treating the entire CTC as gross pay.

3. Verify Basic Salary and Allowances

Check basic salary, HRA and special allowance against the written offer. These amounts influence payroll presentation and can affect provident fund contributions or tax calculations. Do not assume every employer uses the same basic-pay percentage.

4. Estimate Payroll Deductions

Determine employee PF, applicable professional tax and likely income-tax withholding. Your employment state, selected tax regime and eligible deductions can change the result. A realistic monthly budget should use expected bank credit rather than annual CTC divided by twelve.

5. Read the Bonus and Exit Conditions

Check incentive eligibility, performance criteria, payout timing, joining-bonus recovery, notice period and other employment conditions. An offer with higher variable compensation may be less predictable than one with a larger guaranteed fixed component.

After these checks, use the Offer Letter Salary Breakdown Calculator to create a consistent comparison across offers. Keep the assumptions identical wherever the employer policies allow it.

05TAX AND PF

How Income Tax and Provident Fund Affect Your Offer

Income tax is calculated using taxable income, not directly from the CTC printed on your offer letter. Employer-funded benefits, exemptions, deductions and the chosen tax regime affect how gross compensation translates into taxable income.

The new tax regime for FY 2026–27 uses progressive income-tax bands and a standard deduction for eligible salary income. The calculator applies a simplified resident-individual rebate and marginal-relief model to ordinary income. It does not model surcharge, special-rate income or every statutory exception.

New-regime tax bands for FY 2026–27
Annual taxable incomeRate
Up to ₹4,00,0000%
₹4,00,001 to ₹8,00,0005%
₹8,00,001 to ₹12,00,00010%
₹12,00,001 to ₹16,00,00015%
₹16,00,001 to ₹20,00,00020%
₹20,00,001 to ₹24,00,00025%
Above ₹24,00,00030%
Progressive rates apply only to the portion of income in each band. Rebate eligibility and other tax rules must be considered separately.

The old tax regime can permit qualifying deductions and exemptions, including eligible HRA relief. The HRA exemption depends on actual HRA received, rent paid, eligible salary and the relevant city classification. Entering rent alone does not establish an exemption.

Provident fund can affect both CTC and take-home salary. The employer contribution may be included in CTC, while the employee contribution is deducted from gross salary. The precise contribution basis depends on statutory rules and payroll policy.

Professional tax is state-specific and should be entered using the amount applicable to your employment. The tool does not automatically infer professional tax from a city or state. Other payroll deductions, including ESI where applicable, are not automatically calculated.

For additional checks, explore the EPF Employee Contribution Calculator, Tax Regime Savings Comparison Calculator and Salary TDS Monthly Deduction Calculator.

Authoritative guidance is available from the Income Tax Department and the Employees' Provident Fund Organisation. Verify current rules and individual eligibility before making a financial decision.

06COMPARE OFFERS

Comparing Two Job Offers Beyond CTC

The Offer Letter Salary Breakdown Calculator is especially useful when two employers quote similar annual packages but use different compensation structures. One may offer more fixed salary, while another includes a larger performance incentive or employer-funded benefit component.

Consider two hypothetical ₹15 lakh offers. Offer A contains ₹13.5 lakh of fixed compensation and ₹1.5 lakh of variable pay. Offer B contains ₹12 lakh of fixed compensation and ₹3 lakh of variable pay. Before considering other benefits and deductions, Offer A has the larger fixed component.

Offer B may still be attractive if the variable targets are realistic, benefits are valuable or career opportunities are stronger. However, budgeting for recurring expenses should begin with predictable salary rather than the maximum potential incentive.

Compare the Complete Employment Package

  • Guaranteed fixed annual compensation and estimated monthly take-home.
  • Performance incentives, payout history and eligibility conditions.
  • Employer PF, gratuity provisions and insurance coverage.
  • Joining or retention bonuses and any repayment obligations.
  • Work location, commuting expenses and remote-work requirements.
  • Notice period, probation, salary review cycle and leave benefits.

A useful comparison also considers the value of time and location. A higher salary may be offset by greater housing or commuting costs. A smaller package with strong benefits or better flexibility may be preferable depending on your priorities.

For more detailed scenarios, see the annual compensation comparison calculator and the fixed and variable pay calculator. Use verified employer details rather than assuming that every promised incentive will be paid.

07COMMON ERRORS

Common Offer Letter Salary Calculation Mistakes

One frequent mistake is dividing CTC by twelve and calling the result monthly salary. This ignores employer contributions, variable pay and employee deductions. It can create unrealistic expectations about the amount credited to a bank account.

Another mistake is treating every salary component as guaranteed cash. Performance bonuses, reimbursement allowances and benefits can have different conditions. The written compensation schedule should identify which amounts are fixed, conditional or paid only after a qualifying event.

Double-counting provident fund is also common. Employer PF included in CTC reduces gross cash compensation. Employee PF is then deducted from that gross compensation. Subtracting the employer contribution again from the employee's gross salary would understate take-home pay.

Tax estimates can also be misleading when deductions are entered without checking eligibility. Old-regime HRA relief depends on actual qualifying circumstances. A deduction should not be claimed merely because it appears in a calculator input.

Finally, the Offer Letter Salary Breakdown Calculator cannot automatically interpret every employer's payroll policy. Actual salaries may contain different wage definitions, additional statutory contributions, reimbursement rules, rounding conventions and bonus payment schedules.

Best practice: Ask HR for a written component-wise salary structure and a sample monthly payroll calculation. Compare the figures with your calculator result and resolve meaningful differences before accepting the offer.

QUICK ANSWERS / 09

Offer Letter Salary Breakdown Calculator FAQs

Answers to common questions about interpreting salary offers, employer contributions and expected take-home pay.

01 — What is an Offer Letter Salary Breakdown Calculator?

An Offer Letter Salary Breakdown Calculator estimates how annual CTC is divided among fixed gross pay, variable compensation, employer costs and employee deductions. It helps you understand the approximate recurring salary associated with a job offer.

02 — Is CTC the same as in-hand salary?

No. CTC represents the employer's annual compensation cost. In-hand salary is the amount received after applicable employee deductions and tax withholding. Employer benefits and conditional incentives can create a substantial difference.

03 — Does the calculator include bonuses?

Yes. You can enter annual variable pay separately. The calculator removes that amount from regular fixed monthly gross salary while including it in the annual net estimate, assuming it is fully earned and paid.

04 — Is employer PF part of CTC?

It may be. Many employers include employer PF in quoted CTC, but compensation structures differ. Choose the option that matches your written offer to avoid subtracting employer contributions incorrectly.

05 — How accurate is the monthly take-home estimate?

Accuracy depends on your inputs and how closely the model reflects actual payroll rules. The result is an educational estimate and may differ from payroll because of tax adjustments, additional deductions, bonus timing or employer-specific policies.

06 — Can I compare old and new income-tax regimes?

Yes. The calculator estimates annual tax under both regimes using simplified salary assumptions. It also offers a lower-estimated-tax option. Actual eligibility, other income and special provisions may change which regime is preferable.

07 — Is a joining bonus part of monthly fixed salary?

Usually not. A joining bonus is generally a separate payment subject to the terms of the offer. It may have recovery conditions. Treat it separately from guaranteed recurring salary when preparing a monthly budget.

08 — Why does the bank credit differ from the offer letter?

Differences may arise from employee PF, professional tax, TDS, unpaid leave, payroll adjustments or additional deductions. Employer-funded benefits included in CTC also do not normally appear as monthly cash credit.

09 — Should variable pay be counted when negotiating?

Yes, but it should be evaluated separately from guaranteed compensation. Ask about performance criteria, historical payout practices, eligibility dates and whether payments are discretionary. Compare the fixed portions of offers first.

10 — Can the calculator calculate gratuity automatically?

No. Gratuity is entered as an employer cost when its amount is known and included in CTC. Actual gratuity entitlement depends on applicable law, service and other conditions. A CTC provision is not necessarily an immediate cash payment.
